The coronavirus situation has brought a lot of confusion and we understand you may have some questions about Conventa. Rest assured, here at Conventa we are committed to serving you in the best way we possibly can. We also believe in complete transparency between organisers, partners, exhibitors and hosted buyers. Before contacting the Conventa team, we would appreciate it if you could look over the list of frequently asked questions to see if we can answer your question first. They may provide an answer to your question. If you didn’t find the answer you were looking for please contact the Conventa Team for further assistance.

QUESTIONS RELATED TO COVID-19

WHAT DOES “HYBRID FORMAT” MEAN?
The new hybrid format means that exhibitors and most of the hosted buyers will join LIVE, while hosted buyers, who won’t be able to come to Ljubljana will join ONLINE and have meetings with the exhibitors.

IS THERE A CHANCE THAT YOU WILL CANCEL THE EVENT?
Conventa won’t be cancelled. If the epidemiological situation in Slovenia worsens, we will find a suitable alternative date and reschedule the event.

WHERE WILL MAJORITY OF THE HOSTED BUYERS COME FROM?
The focus will be bringing top-notch buyers from Austria, Czech Republic, Croatia, Italy, Hungary, Germany, Slovakia and Slovenia – countries accessible by car and train.

HOW WILL YOU BRING THE BUYERS, IF THE FLIGHT CONNECTIONS ARE LIMITED?
We have a back-up plan; Buyers from 5 key markets – Budapest, Milano, Munich, Vienna and Zagreb will be invited to come by bus.

DO WE HAVE TO PAY IN ADVANCE?
For registrations after 3 October 2020, a deposit of 60 % of the total registration fee must be paid in 8 days after the application form is submitted. Pro-forma invoice will be sent by technical organiser: Toleranca marketing d.o.o. Remaining balance of the total registration fee must be paid by December 31, 2020. 

GENERAL INFORMATION

IS THERE A DRESS CODE?
Conventa is a focused business-to-business event, thus dress code within the Conventa programme is business casual.
 
WHEN I WILL GET MY CONVENTA BADGE?
You can collect your badge onsite at the Registration desk at the GR or at the Welcome Reception. Conventa badge holders must wear their badges at all times to gain access to the Conventa area and to ensure their unrestricted movement within the Conventa area.
 
WHAT WILL THE WEATHER BE LIKE?
The climate of the Slovenia can be described as typical European continental influenced climate with warm, dry summers and fairly cold winters, while the coastal areas and the lowlands in the south have a Mediterranean influenced climate. January is the coldest month with daytime temperatures usually around zero in the north. Snowfall is also possible on some days. For the latest weather forecast, please click here.

VENUE AND DATE 
One2One meetings will be held on 20 and 21 January 2021, GR – Ljubljana Exhibition and Convention Centre, Ljubljana, Slovenia, while the Welcome Reception will take place a day before, on 19 January 2021 in the Grand Hotel Union.

WHAT DOES MY EXHIBITOR PACKAGE INCLUDE?
All packages include equipped exhibition stand in dimensions provided for by the selected package. The number of company representatives present at the stand is determined by the selected package. Stand number and the name of exhibitor printed to the cardboard is included in the price of the stand rental as well as electricity for laptop, WiFi, daily cleaning. Exhibition stand also includes morning and afternoon coffee break, lunch on both days of the show and social functions on 19 and 20 January 2021.
 
CAN I BRING MY PROMOTIONAL ROLL-UPS? 
Promotional roll-ups will not be allowed at the stand. You will be able to fix the images to the “closed sides” of the crates, while open sides of the crates can be used as shelves for promotional materials or some special objects or symbols from your hotel, congress centre, and agency.
 
HOW CAN I PRINT MY IMAGES?
We would like to suggest that you use the same materials for the same materials for printing as the organiser, or you can order the images from the organises directly. Upon additional payment we can offer printing of:
–    small images (1 – 6 images per exhibition stand); 50×33 cm
–    one big image; 150×66 cm horizontal
–    one big image; 100 x 99, vertical
 
Is there a possibility of an additional representative per exhibitor?
There is a maximum of two representatives per 4m2 stand.

ONE2ONE MEETINGS

What is a pre-scheduled appointment and how are my appointments made?
A pre-scheduled appointment is a 20-minute one to one appointment between a buyer and an exhibitor on the Conventa show floor. Your matched and confirmed appointments will then be shown in the Agenda menu.
 
Which browsers officially support the One2One application?
We recommend that you use Mozilla Firefox or Google Chrome. The application will not work properly in Safari.
 
Where can I find the website for pre-scheduling appointments?
The link to the website was send to your e-mail. Please check your junk mail if you did not receive it or write to natalija@conventa.info.
 
What are the deadlines to make appointments?
From December 15 to January 10 only Hosted buyers will be able to invite Exhibitors for meetings.
From January 10 also Exhibitors will be allowed to invite Hosted Buyers. System will close on 21 January 2021.

How do I select my Pre-Scheduled Appointments in advance?

Registered Exhibitor has to login with their email and password to the ‘One2One meetings application’. Please remember that Exhibitors will have the chance to invite Hosted Buyers from January 10 on. Once logged into the application, click »House icon« in the top left corner. On the left side of the screen you will see a »Show all« button where total list of Exhibitors and Hosted Buyers will be seen. For arranging meetings please click »Request a meeting« green button.
 
Is there a Mobile APP available for arranging meetings?
Yes. Mobile app will be available.
 
How do I view / print my diary of appointments at Conventa?
You can view your diary of appointments in the Agenda menu. Once you are logged in, click on the “House icon”. On the left side you will be able to see Agenda menu. You will also receive printed version of diary of appointments on site.
 
How can I edit my profile?
In order to edit the organization profile information, select the “Edit my data” button on top right side of the screen once you are logged in to the application. This takes you to your profile where you can make updates for personal and organization data, participation schedule and products / services profiles.
 
I lost / forgot my password. What do I do?
Please reset your password. Go to the website of the application and press “Login” button. Please click the option Can’t access your account? You will have to provide your e-mail and enter the displayed code. Once you do this, you will receive an e-mail in order to confirm your identity. Please follow the instructions to recover your password. If you don’t receive an e-mail please contact Ms. Natalija at natalija@conventa.info.
 
Can I use last year’s password?
Unfortunately not. New passwords are generated each year.

ONLINE DIARY

When do the online diaries go live?
Exhibitor diaries are planned to be live from December 2020.
 
Is there a possibility of an additional online diary that enables additional or separate one-to-one meetings?
Yes. Each 4m2 stand includes one online diary. Exhibitor can buy another online diary. Please check additional offer.

PAYMENT CONDITIONS

HOW MUCH DOES IT COST?
Conventa offer various packages for Exhibiting. Please check Conventa exhibitor packages on our website.

MYTHS ABOUT CONVENTA

Conventa is Expensive
NOT TRUE. Conventa is one of the B2B events where all of the costs are included in the price of the package: an equipped stand, coffee breaks, lunches and two evening receptions. So, on top of the exhibition package your only additional costs are travel and accommodation.
 
Are Hosted Buyers interested in my destination?
YES! Conventa is focused on presenting of the “New Europe” destinations, something that is clearly communicated with the meeting planners, who are carefully selected by different criteria. The advantage of the Conventa One2One meetings application is that you can see all of the hosted buyers in advance, so you can be well prepared for your meetings with them.
 
I have already been at Conventa so I won’t meet any new buyers if I come again.
NOT TRUE.
 Every year at Conventa around 90 % of the buyers are joining us for the first time, so it is even more important to attend Conventa regularly to be able to meet many new meeting planners as well as catch up with some of those contacts you have previously made.
 
Trade shows take too much time.
YES and NO. Have you ever calculated how much time you would spend trying to find 250 contacts, trying to arrange meetings with them, and then finally trying to meet just twenty of them in different European countries? At Conventa this will all be done in two days. And after Conventa you will get the full list of all hosted buyers with their contact details.
 
It is too late to join Conventa?
NOT TRUE. You can always join the list of exhibitors if there is room on the exhibition floor. However registering before the on-line system for pre-scheduling meetings opens is a wise choice!
